Plan it, step by step

Surprise party

A successful surprise party needs an accomplice close to the guest of honour, a guest list that never goes through their usual channels and a solid pretext to get them there on time. Everything else (date, invitations, gift, messages) can be prepared through shared links, out of their sight. Here are the steps in order, and how Filomy helps.

  1. 2 months before

Pick the date with an accomplice

    What makes it complicated

You need to know the guest of honour's plans without asking them, and consult friends and family without a group chat they might see.

    With Filomy

A poll shared by link helps choose a date or a venue, anonymously or by name, with a closing date.

    Poll →
  2. 7 weeks before

Invite people without the guest of honour noticing

    What makes it complicated

Family, friends, colleagues: replies come in by text, email and private messages, and one misdirected 'See you Saturday?' is enough to give it all away.

    With Filomy

The invitation page takes 2 minutes to create and tracks replies in real time, with the number of plus-ones and custom questions.

    Invitations & RSVP →
  3. 6 weeks before

    Organise the group gift

    What makes it complicated

Gathering contributions from 30 people means tracking every pledge and every transfer, without mentioning it in chats the guest of honour is part of.

    With Filomy

The personalised gift voucher names the gift (for example 'A weekend by the sea'), shows a target amount and everyone's words; participants pay the organiser directly.

    Personalised gift voucher →
  4. 1 month before

    Secretly collect messages and videos

    What makes it complicated

Videos from faraway friends arrive on several messaging apps, in different formats, and everything has to be gathered before the big day.

    With Filomy

The online guest book collects messages, photos, videos and voice notes via link or WhatsApp, with no app or account, and can be moderated.

    Online guest book →
  5. 10 days before

Chase replies and share the D-day instructions

    What makes it complicated

You need the last answers and have to remind each guest of the arrival time, where to park and the rule of silence, one by one.

    With Filomy

You remind guests who haven't replied in one click and export the list as a CSV file.

    Invitations & RSVP →
  6. On the day

The reveal, then the messages on screen

    What makes it complicated

Once the surprise is over, building a slideshow from files received from everywhere would have taken whole evenings.

    With Filomy

The guest book has a slideshow view to project during the party, and contributions can later be printed as cards or a book.

    Online guest book →
  7. After the party

    Give a keepsake that lasts

    What makes it complicated

Photos of the evening stay on guests' phones and the messages end up forgotten.

    With Filomy

Guest book contributions can be printed as cards or a book, to give to the guest of honour.

Karim's surprise 40th birthday, 35 guests

Ines is planning her husband Karim's 40th on a Saturday evening in June, in a hired room near their home. 35 guests (family, childhood friends, colleagues) and one accomplice: Julien, his best friend.

The countdown plan

D-60
Ines and Julien settle on two possible dates, book the room and create a poll shared only with close family.
D-55
List of the 35 guests with their numbers, gathered without going through Karim's phone; the invitation page is sent by private message.
D-45
Launch of the group gift voucher ('A weekend by the sea') with a target amount; the link is shared by private message.
D-30
Guest book link sent to guests and to friends who can't make it, with a deadline for videos.
D-10
Reminder to guests who haven't replied, then a message with instructions: arrival time, parking, total silence.
D-2
Final check with the venue and the caterer, projector tested with the guest book slideshow.
On the day, 6:30 pm
Ines and two friends set up the room; Julien takes Karim to 'try a new bar' to keep him busy.
On the day, 7:30 pm
Guests arrive, cars parked out of sight, phones on silent.
On the day, 8:15 pm
Julien texts 'Arriving in 10 min'; lights off, everyone in place. At 8:25 pm, the reveal, then the message slideshow.
D+15
The guest book is exported as an A4 PDF, then sent off to be printed as a book for Karim.

The checklist

  • An accomplice close to the guest of honour
  • The guest list with phone numbers, kept off the guest of honour's phone
  • A believable excuse for the evening, and a plan B
  • The invitation page and the guest book link
  • The group gift voucher with a target amount
  • Somewhere to park cars out of sight
  • A projector or screen for the slideshow
  • An agreed signal with the accomplice ('Arriving in 10 min')

Frequently asked questions

How do you plan a surprise party without the person finding out?

Choose an accomplice close to them, never use a group they belong to and share everything by link: poll, invitations and guest book. Also ask guests not to post or like anything before the party.

What is a good excuse for a surprise party?

The safest is an ordinary plan that is hard to turn down, suggested by the accomplice: dinner for two, drinks at a friend's, helping someone out. Make sure the excuse fits the outfit, so they don't feel underdressed.

When should the guest of honour arrive at a surprise party?

Allow 45 minutes to an hour after the time given to guests. The accomplice sends the organiser a discreet text 10 minutes before arriving, so the lights can go off and everyone can go quiet.

How many messages does the guest book accept for free?

Up to 50 contributions. Beyond that, it is unlimited with a box or a one-time unlock of €39.90.
