An audio guestbook for your wedding: vintage phone or QR code?

November 2026 · 6 min read

You've probably seen it at a friend's wedding or on social media: an old rotary phone sitting in a corner of the venue, with a little sign saying “Pick up and leave us a message”. The audio guestbook is one of the wedding trends of the moment. Before you book yours, here's what you need to know, and how to collect every guest's voice without a queue.

The guestbook phone: how does it work?

The idea is simple. A vintage, or vintage-style, phone is set up at the reception venue. Guests pick up the handset, hear a greeting recorded by the couple, then leave their message after the beep. The recordings are stored in the device, and the couple retrieve them as audio files after the party.

You rent one for the weekend from a supplier, or you buy one. And the charm is real: a voice carries an emotion that written words can't always capture. The hesitations, the laughter, the sound of the party in the background… That's exactly why the voice guestbook appeals to so many couples.

The limits you discover on the day

The phone does come with some very practical constraints, and it's best to know them before you commit:

  • One handset, one voice at a time. With a hundred or so guests, a queue builds up quickly, and many give up after a few minutes of waiting. Shyer guests don't dare speak in front of the people waiting behind them.
  • Only the guests who are there that evening. The cousin who lives abroad, the great-uncle who couldn't make the trip, the friend who leaves before dinner: none of them will leave a message.
  • One more thing to organise. You need to pick up the device, set it up, check it works, return it, then transfer the recordings. The day after the wedding, it's often a best man or maid of honour who ends up with the job.
  • A budget line of its own. Whether rented or bought, the phone adds to an already long list of expenses.

The alternative: a QR code on the tables, and every guest records from their own phone

What if every guest already had a handset in their pocket? That's the idea behind the digital guestbook: you place a QR code on the tables, guests scan it with their smartphone and record a voice message straight from their browser. No app to install, no account to create.

With the Filomy memory space, everyone chooses their format: voice message, text, photo or video. Everyone can take part at the same time, from their seat, whenever suits them. No more queue.

Best of all, the QR code comes with a link you can share in advance. Loved ones who can't attend record their message from home, before or after the wedding, and they can even contribute via WhatsApp. All the messages land in a single guestbook, which you can listen to the next day, quietly, just the two of you.

You can then download the contributions, export them as a PDF or order a printed keepsake. The space is free to start (up to 50 contributions over 3 months); for a big wedding, a one-time activation code at €39.90 removes these limits. To learn more about how it works, read our article on using a QR code to collect messages at an event.

Where to place the QR codes, and what to write on them

A QR code tucked away in a corner won't get scanned. Multiply the touchpoints:

  • On every table: a small stand next to the table number or place card.
  • At the bar and near the photo booth: where guests naturally wait, phone in hand.
  • On the menu or the order of service: a discreet QR code at the bottom of the page is enough.
  • In the invitation or on the wedding website: so that those who can't attend can take part right away.

For the sign, go for a short sentence and a clear instruction. For example: “A word, a laugh, a memory? Scan and record us a voice message: we'll listen to it tomorrow morning. No app, no account.”

And to help those who don't know what to say, display a question. A few ideas:

  • “Give us one piece of advice for our 10th wedding anniversary.”
  • “Tell us how you first met us.”
  • “Which song absolutely has to play tonight?”
  • “A wish for our first trip together as a married couple?”
  • “Your funniest memory with one of us.”
  • “What you wish for us twenty years from now.”
  • “In your opinion, what's the recipe for a couple that lasts?”
  • “A message to play back on our first wedding anniversary.”

The right moments to prompt guests, and the role of the wedding party

Timing matters more than the medium. Two moments work particularly well: the drinks reception, when guests are relaxed and have time on their hands, and right after the speeches, when emotions are running high. A quick announcement on the mic at that moment often gets the messages flowing.

Ask the best man and maid of honour to keep things going: a reminder on the mic (“The QR code is on your tables, we want to hear your voices!”), a message with the link in the guests' WhatsApp group, a quick round of the tables to help those less at ease. They can also record the very first message to set the example.

Finally, think of the grandparents: a grandchild can record their message on their own phone in a few seconds. For more ideas, see our guide to the wedding guestbook.

Vintage phone and QR code: the best of both

Already fallen for the retro phone? Nothing stops you from keeping it… as a decorative piece. Place it on a table with a sign saying “Pick up… then scan!” and a clearly visible QR code. Guests get their photo with the handset, and their message goes straight into your digital guestbook. You keep the vintage charm, without the queue or the recordings to retrieve.

The next day, you open your memory space and listen, one by one, to the voices of the people who matter. Including those who couldn't be there.

Frequently asked questions

Do guests need to download an app?

No. They scan the QR code or open the link in their phone's browser, then record their message right away. No app to install, no account to create.

Our grandparents don't have a smartphone: can they take part?

Yes. A grandchild, a best man or maid of honour, or any loved one can scan the QR code with their own phone and record a voice message for them. It takes a minute, and it often becomes a lovely shared moment.

Can we listen to the messages again after the wedding?

Yes. All the messages are gathered in your memory space: you can listen to them whenever you like, and export or download the contributions to keep on your side.

Can guests who can't attend leave a message?

Yes, and it's one of the big advantages over the vintage phone. Share the link by text, email or WhatsApp: they record their message from home, before or after the big day.
